Business Process Overview
Every Project must have at least one Activity assigned to successfully transact with a value in the Project ChartField. Standard Activities are established within Florida PALM and associated to Projects based on the Project Type. In Florida PALM, Project Activities represent a type of activity that must be completed in order to achieve the goal or objective of the project.
A Project may have many Activities for the agency to adequately track, report and analyze their project’s financial transactions. However, a single Activity value may only be used once within a single project.
Business Process Diagram
Business Roles
The Business Process Flow Diagrams use horizontal swim lanes to depict where activities are performed by different parties or systems. Each swim lane is titled with a role, either agency-based or within DFS, and in some cases, are representative of an external entity or system. The swim lanes may change from page to page within a single business subprocess as more or fewer roles are required to execute sections of the business subprocess.

Business Process Flows Details
The tables below describe steps in each business subprocess as reflected on the Business Process Flow Diagrams. The tables also reflect information associated with each step describing the intent of the specific process. Florida PALM screenshots are included within the sections to allow connections to be made from specific business subprocess steps to screens within Florida PALM. This information should be read in conjunction with the Business Process Flow Diagrams.

Identify the need for a new Activity or modify an existing Project Activity |
The Agency PC Processor will enter the Project number in which to modify an existing Activity or add a new Activity (see figure 2).
If modifying an existing Activity, click search to see a list of all associated Activities for the Project number entered.

Identify and Select Project |
Using the fields available search for the project in which to add or update an Activity.

Identify and Select Activity to be Modified |
If updating an existing Activity, select the Activity value from the available list.

Assign New Activity |
The Agency PC Processor may add a new Activity to a Project by selecting the Add New tab. The available Activities to be assigned are limited to the standard Activities that are associated to the Project’s type (see figure 3).
Activities are statewide and are intended to be specific enough that they do not repeat on a single project, but generic enough that they can be used on multiple projects.

Add/Modify Activity Information |
Once all new or modified information has been recorded for the Activity, the Agency Processor will save the changes to commit the information to the Activity Definition.
If an add/modify Activity Budget is needed, the Agency PC Processor follows the 90.1.3 Define Project Budget business subprocess. |

Accounting Events
Accounting events originate during transaction processing in the applicable source module. The accounting events impact the source module, Commitment Control ledgers, and the General Ledger (Actuals).
- Source Module accounting entries require user input (I) of the primary line (i.e., expenditure, revenues) with an automated (A) system offsetting line (i.e., payable, receivable) during transaction entry. The source model transaction must pass Edit Check, Budget Check, and Cash Check (on applicable entries) prior to posting the transaction.
- The Run Budget Check (Commitment Control) process automatically affects balances in the appropriate budget ledger (i.e., appropriation, spendable cash) if the transaction passes the budget check process.
- After the transaction is posted in the source module, an automated system process summarizes and posts the entries in the General Ledger module to the Actuals Ledger.
