Appendix A – Project Structure

Introduction

Each Project in Florida PALM requires at least one Activity to be assigned in order to transact successfully in other Florida PALM modules such as AP, PO, GL, AR, and IU.

Florida PALM Projects may be structured to allow flexibility and adaptability to support the agency needs for each project. A Project structure may be as detailed or summarized as an agency needs for the purpose of tracking and reporting. The structure chosen for the project impacts the reporting and analysis tools readily available within the Project Costing module. It is important for agencies to determine how they need to report project related financial data, what reporting requirements are outlined within any agency, grantor, federal or state requirements that may impact their project.

Regardless of which structure is chosen, budget items may have one or more COA ChartField Strings associated.

Generalized or High-Level Project Structure

The most generalized structure a Project can have is a single Project, with a single Activity and a high-level Budget Item. This structure is best used for projects that do not require detailed tracking of the Activities being performed and charges being recorded.

Detailed Activity with General Budget Items

If reporting is needed by the Activity level, where a general Activity value would not provide enough information, a Project Structure with more detailed Activities would be best practice. An example of this is a FCO Project, where the Activities are required to be detailed within the FCO Certification Forward Request process. The Budget Items may remain generalized at the highest level.
