Interface Description
The Florida PALM Physical Inventory process extracts the Asset data into a sequential file from the database. This file is generated and saved for the agency to perform its physical inventory. The physical inventory results are then loaded into Florida PALM. The physical inventory results are reviewed and verified to generate results that compare the inventoried data to asset data within Florida PALM. Based on the Inventory result, assets are added, retired, transferred, updated, etc. in Florida PALM.

Selection Criteria
The interface data selection criteria includes the following:
Data Field | Data Field Details |

Physical Inventory ID | A search list of the available Physical Inventory IDs for selection. |
Format | A dropdown of the available file formats. |
Import File Name | A free text field where the user specifies the file path and name where the inventory results file will be placed. |
Delete Data Before Load Scan | Check Box, which allows for deletion of previously loaded data. |

| Review SW | Detail | Indicates if Manual Review of Asset Record is Required. |
| Deptid | Detail | BU Organization that manages and safeguards the asset. Organization ChartField allows agencies to manage and report asset according to agency's operational/hierarchical structure. |

| Location | Detail | The current location of this asset (usually BU main location or primary safe-keeping address). Value entered must be a valid Florida PALM location code. |
| Description | Detail | Long description of the asset (30-character). |
| Custodian | Detail | Individual Authorized to Manage and Safeguard the Asset |
| Employee ID | Detail | The Employee ID of the custodian responsible for this asset. |
| Hand Held Operator | Detail | Identifies the Hand Held Operator |
| Manufacturer | Detail | Identifies the Manufacturer of the asset. |
| Hardware Software SW | Detail | Indicates if the asset is a computer equipment |
| IP Address | Detail | Indicates the Internet Protocol Address |
| IP Alias | Detail | Indicates the Internet Address Alias |
| Software Version | Detail | This field is used for processing purpose and may not have target record |
| IT Asset ID | Detail | Identifies the IT Asset ID |
| Scan Business Unit | Detail | Used to define an organization or organizational subset that is independent with regards to one or more accounting or operational functions for AM. Assets are recorded and updated in this Business Unit. |
| Area ID | Detail | Agency administered field that identifies a more specific area within the location. |
| Custodian Department ID | Detail | Agency Department to which the asset custodian reports. |
| Last Scanned Datetime | Detail | Date and time the asset was inventoried |
