Conversion Description

Florida PALM requires the conversion of supplier information to support business processes in the Accounts Payable, Purchasing and Asset Management modules. The following identifies the legacy supplier data that needs to be converted:

  • Supplier information from the Statewide Vendor File (SWVF), which is inclusive of active MyFloridaMarketPlace (MFMP) records.
  • Supplier ACH/EFT information maintained in the FLAIR EFT File (EFT File) to be associated to the respective supplier records converted from the SWVF.
  • Florida Retirement System (IRIS)
  • Payroll (PYRL)
  • W9 System
  • MFMP (source for the CBE Codes, formerly MBE codes)
  • Payroll Collection System (collection vendors)

As part of APC001 Supplier Conversion a one-time crosswalk file will be published to tie the legacy Vendor IDs and Sequence Numbers to the Florida PALM Supplier IDs. There is limited information available within the Supplier Crosswalk as this file was meant to provide the unique identifiers from the legacy systems mapped to the Florida PALM Supplier ID so that Agency Business Systems can be updated. The Legacy Supplier ID will only be used for supplier conversion purposes and will not be part of the Florida PALM supplier record.

A full extract of Florida PALM Suppliers will be available via API020 Outbound Supplier Data interface, as needed after final APC001 Conversion is complete and once the API020 interface is live and ready for use. Since suppliers can be marked confidential, agencies will receive non-confidential suppliers and only confidential suppliers associated to the Business Unit that their agency has access to. Since the Legacy Supplier ID will not be included in the Florida PALM supplier record, the Legacy Supplier ID will not be provided in API020.

For testing purposes, supplier data will be provided to agencies following Mock 2 and future APC001 Mock Conversions. It is important to note that that supplier data provided following Mock Conversions will be different from the data provided after Final Conversion. The Supplier IDs will change during each iteration of Mock Conversion activities. Agencies should not use the Mock Conversion supplier data as the final data set for Florida PALM Financials go-live.
