Hardware and Software Requirements for Physical Inventory Processing

The below detail identifies barcode scanner hardware and software requirements necessary to support physical inventory processing within the Florida PALM Asset and Accounting Management business processes, which will be implemented via the Asset Management module at the Financials Wave go-live in January 2026.

Florida PALM will support two solutions for conducting physical inventory activities; 1) Mobile Physical Inventory (Mobile), and 2) Classic Physical Inventory (Classic).  The following denotes high-level hardware and software requirements for each solution:

1) Mobile Physical Inventory – A device with wi-fi/cellular data (i.e. 5G, 4G LTE) connectivity may be used to conduct Mobile Physical Inventory activities. Thus, a mobile handheld device (e.g., mobile phone) or a barcode scanner device with active wi-fi connection may be used to conduct Mobile inventory activities. 

  • Mobile Physical Inventory Barcode Scanner Hardware Requirements. The following are the hardware requirements for mobile physical inventory processing.
    • A mobile device paired with barcode scanner, or;
    • A dedicated barcode scanner: A handheld unit that you can use to collect asset data. The device must have web browsing capability to access the Florida PALM Mobile Inventory Asset Tracking page.
  • Mobile Physical Inventory Barcode Scanner Software Requirements. The following are the standard software requirements for Mobile Physical Inventory:
    • Barcode scanning devices using an Apple Operating System (iOS): Barcode scanning devices using an Apple Operating System must use the Safari browser in full screen mode. Furthermore, the virtual keyboard will not display when using the Mobile Physical Inventory page in the Florida PALM.
    • Barcode scanning devices using an Android Operating System: Barcode scanning devices that use an Android Operating System will display the virtual keyboard when using the Mobile Physical Inventory page in the Florida PALM.

2) Classic Physical Inventory – A barcode scanner device in conjunction with a local computer or Agency business system is required to conduct Classic Physical Inventory activities.

  • Classic Physical Inventory Barcode Scanner Hardware Requirements. Hardware requirements for Classic Physical Inventory processing consists of the following:
    • Portable barcode reader : A handheld unit that you can use to collect asset data.
    • Barcode scanning wand : A device that you use to physically scan bar codes. The wand is usually purchased along with the barcode reader.
  • Classic Physical Inventory Barcode Scanner Software Requirements.
    • To view Florida PALM Asset Management data on a scanning device while you scan assets, you need to develop your own application for the scanner. You will need to transfer the applicable Florida PALM outbound and inbound Classic Physical Inventory files noted below between the computer and the barcode scanner. To do this, you can use any communications application that transfers information from a computer to a scanning device.
      • Outbound Classic Physical Inventory Files
        • AMI004 - Outbound Asset Physical Inventory CSV File Extract, or;
        • AMI009 - Outbound Asset Physical Inventory Scanner File Extract
      • Inbound Classic Physical Inventory Files
        • AMI008 - Inbound Asset Physical Inventory CSV File Load, or;
        • AMI010 - Inbound Asset Physical Inventory Scanner File Load
