Interface Description
Agency Asset Custodians maintain financial and physical information of State-owned Assets. Maintenance of asset records in Florida PALM includes scheduling regular, periodic functions such as depreciation, inventory, transfers, disposals, and end-of-period closing activities. Maintenance includes on-demand updates that reflect daily activities, such as asset status changes. Effective record maintenance also supports compliance with requirements for the recording of assets.
The Inbound Asset Physical Inventory Load process loads Florida PALM with the CSV file including the results of Asset Physical Inventory data into the Florida PALM system. This is accomplished using the Florida PALM delivered Physical Inventory process (AMPI1000).

Selection Criteria
The interface data selection criteria includes the following:
Data Field | Data Field Details |

Physical Inventory ID | A search list of the available Physical Inventory IDs for selection. |
Format | A dropdown of the available file formats. |
Import File Name | A free text field where the user specifies the file path and name where the inventory results file will be placed. |
Delete Data Prior To Load Scan | Check Box, which allows for deletion of previously loaded data. |

| TAG_NUMBER | Detail | The user defined tag number that has been assigned to the asset. |
| SERIAL_ID | Detail | Serial number of asset being recorded in Florida PALM. |
| ASSET_ID | Detail | Florida PALM generated Asset ID. |
| DEPTID | Detail | BU Organization that manages and safeguards the asset. Organization ChartField allows agencies to manage and report asset according to agency's operational/hierarchical structure. |
| MODEL | Detail | Model of the Asset |
| LOCATION | Detail | The current location of this asset (usually BU main location or primary safe-keeping address). Value entered must be a valid Florida PALM location code. |
| AREA ID | Detail | Agency administered field that identifies a more specific area within the location that houses the asset. |
| DESCR | Detail | Long description of the asset (30-character). |
| CUSTODIAN | Detail | Individual Authorized to Manage and Safeguard the Asset |
| EMPLID | Detail | The Employee ID of the custodian responsible for this asset. |
| CUSTODIAN_DEPTID | Detail | Identifies the Asset Custodian Organization. |
| MANUFACTURER | Detail | Identifies the Manufacturer of the asset. |
| MATCH_STATUS | Detail | Identifies the Physical Inventory Match Status |
| REVIEW_SW | Detail | Indicates if Manual Review of Asset Record is Required. |
| IP_ADDRESS | Detail | Indicates the Internet Protocol Address |
| IP_ALIAS | Detail | Indicates the Internet Address Alias |
| SOFTWARE_VERSION | Detail | This field is used for processing purpose and may not have target record |
| IT_ASSET_ID | Detail | Indicates the IT Asset ID |
| SCAN_BUSINESS_UNIT | Detail | Used to define an organization or organizational subset that is independent with regards to one or more accounting or operational functions for AM. Assets are recorded and updated in this Business Unit. |
| HAND_HELD_OPERATOR | Detail | Identifies the Hand Held Operator |
| COMMENTS | Detail | The comments associated with the assets that appear on the asset record. This is a free text field (8529-character). |
